Refund & Cancellation Policy

At Stitch Expo, we specialize in manufacturing custom apparel and private-label products made specifically to each customer’s requirements. Because our products are custom-made, our refund and cancellation policy differs from that of businesses selling ready-made or stock items.

By placing an order with Stitch Expo, you acknowledge and agree to the terms of this Refund & Cancellation Policy.


1. Custom Orders

All products manufactured by Stitch Expo are produced according to the artwork, designs, measurements, technical packs, samples, specifications, branding, and other requirements provided or approved by the customer before production.

As each product is made exclusively for the customer, custom orders cannot be returned or refunded simply because the customer changes their mind or no longer wishes to proceed after production has started.


2. Customer-Approved Specifications

Customers are responsible for carefully reviewing and approving all artwork, mockups, measurements, size charts, materials, colors, logo placements, labels, packaging, and other specifications before production begins.

If Stitch Expo manufactures a product in accordance with the customer’s approved specifications, the order will be considered correctly fulfilled.

If the customer later decides they do not like the product, its appearance, fit, color, design, embroidery, print, fabric selection, sizing, branding, or any other subjective aspect, this does not constitute a manufacturing defect and does not qualify for a refund, return, or replacement.

This includes situations where the customer:

  • Changes their mind after production.
  • Prefers a different design after receiving the product.
  • Wishes they had selected different materials, colors, or branding.
  • Is dissatisfied with the overall appearance despite the product matching the approved specifications.
  • Decides they no longer wish to use the product after it has been manufactured according to their approved requirements.

If additional improvements or modifications are requested after receiving a sample or completed product, Stitch Expo is happy to continue the product development process. Any additional samples, revisions, remanufacturing, or modifications may require additional charges and will be quoted separately before work begins.


3. Sample Orders

Samples are manufactured for evaluation, testing, and product development purposes.

Sample charges cover costs including, but not limited to:

  • Pattern development
  • Material sourcing
  • Fabric cutting
  • Sewing and manufacturing
  • Printing and embroidery
  • Quality inspection
  • Custom labels and packaging (where applicable)
  • Shipping (where included)

Once sample production has begun, sample payments are non-refundable.

Where agreed in writing, a portion of the sample cost may be credited toward a qualifying bulk production order.


4. Bulk Orders

Bulk production begins only after the customer has approved the required specifications and the agreed payment has been received.

Because bulk orders are custom manufactured specifically for each customer, refunds and cancellations are generally not available once production has started.


5. Order Cancellation

Orders may be cancelled before production begins.

If work has already started, Stitch Expo reserves the right to deduct any costs already incurred, including but not limited to:

  • Design and artwork preparation
  • Pattern development
  • Fabric and material sourcing
  • Production planning
  • Labor costs
  • Administrative expenses
  • Payment processing fees
  • Shipping arrangements

Once manufacturing has commenced, cancellations are generally not accepted.


6. Manufacturing Defects

If a customer believes their order contains a manufacturing defect or does not substantially match the approved specifications, they must notify Stitch Expo within 7 calendar days of receiving the shipment.

Customers may be asked to provide:

  • Clear photographs
  • Videos
  • A description of the issue
  • Quantity affected
  • Supporting documentation where necessary

Each claim will be reviewed individually.

If Stitch Expo determines that the issue resulted from a manufacturing error, we may, at our sole discretion:

  • Repair the affected products.
  • Remanufacture the affected products.
  • Replace the affected products.
  • Offer a partial refund.
  • Offer store credit.

The remedy provided will depend on the nature and extent of the verified issue.


7. What Is Not Considered a Manufacturing Defect

The following are considered normal manufacturing tolerances and are not eligible for refunds or replacements:

  • Garment measurement variations within ±1–2 cm.
  • Minor fabric GSM variations within industry standards.
  • Minor color differences between dye lots.
  • Slight embroidery variations.
  • Slight print placement variations.
  • Minor thread trimming.
  • Fabric texture variations.
  • Natural shrinkage within industry standards.
  • Color differences caused by monitor, screen, camera, or lighting settings.

8. Shipping Damage

If products arrive visibly damaged during shipping, customers should:

  • Notify the courier immediately where possible.
  • Contact Stitch Expo within 48 hours of delivery.
  • Provide photographs of the damaged packaging and products.

Shipping damage claims will be reviewed individually.


9. Incorrect Shipping Information

Customers are responsible for providing accurate shipping details.

Stitch Expo is not responsible for delays, losses, or additional costs resulting from incorrect shipping information supplied by the customer.


10. Payment Processing Fees

Payment gateway fees, PayPal fees, Payoneer fees, bank charges, wire transfer fees, currency conversion charges, and similar financial transaction costs are generally non-refundable unless required by applicable law.


11. Force Majeure

Stitch Expo shall not be liable for delays or failure to perform caused by events beyond our reasonable control, including but not limited to natural disasters, war, civil unrest, government actions, customs delays, labor disputes, transportation disruptions, supplier shortages, pandemics, or other force majeure events.
